Here's some examples of things you could say to explain the client code system:
The code allows us to count how many unique people are picking up supplies in our region. Our funders asks us to report this.
The code can be any 4 letters and a year of birth, but we recommend using some letters from your name or nickname so its easier to remember. For example, my name is Maja Burrus, so my code might be MAJB or MABU. I was born 1993, so my code would be MABU1993. The year of birth helps us with age statistics, but if you don't want to include your year of birth you can be something like MABU1901.
The code isn't mandatory, it just helps us with statistics. You don't have to give a code if you don't want to.
Tips:
- Try asking for a code from clients you already have rapport with, or clients who act as ambassadors for the program to the broader community
- Don't force it, if you think the code is making a client uneasy, just say "That's alright - you don't need to give a code if you don't want to."
- If a client is in a rush, or you just don't think its a good time to introduce the code, you can just ask them next time they return
